Who we are

Heartcraft Wedding Films provides wedding videography services in Arizona and beyond. We are the controller for data we collect through our website, forms, ads, email, SMS, and portfolio use. Contact: [email protected], 480-415-8288, Phoenix, Arizona, USA.

Scope

This policy covers personal information we collect when you visit our site, inquire, sign our agreement, pay, receive texts or emails, and when you appear in media we capture at events.

Information we collect

a) You provide it: names, emails, phone numbers, wedding date, venue, location, details about your event, preferences, questionnaires, testimonials, and messages.

b) Transactions: package selections, invoices, payment status. Card details are processed by Stripe; we do not store full card numbers.

c) Media: video, audio, and images captured at events; interview responses; usage preferences per your contract.

d) Automatically collected: IP address, device and browser, pages viewed, referral URLs, approximate location, cookie IDs, ad identifiers.

e) From third parties: referral partners, social platforms and ad networks you interact with, review sites, and vendors you authorize us to coordinate with.

f) Sensitive data: we do not seek to collect sensitive data, but vows, ceremonies, or cultural elements may incidentally reveal it. Only use as needed to deliver services or with your consent.

How we use information

a) Provide services: respond to inquiries, send proposals and contracts, schedule, capture and deliver films, support.

b) Billing: process deposits and balances through Stripe and keep accounting records.

c) Communications: service emails and texts about your project, scheduling, delivery, and support. With consent, marketing emails or texts. Opt out any time.

d) Marketing and analytics: improve our site and measure campaigns, including through cookies, pixels, and similar tech.

e) Portfolio and publicity: with your consent or as allowed in your agreement, we may display selected images and films in our portfolio, social media, ads, award submissions, and blogs.

f) Legal and security: prevent fraud, enforce agreements, and comply with law.

SMS program (A2P)

a) Purpose and frequency: messages for inquiries, bookings, scheduling, invoices, reminders, delivery updates, and optional marketing. Frequency varies. Message and data rates may apply.

b) Consent: by submitting your number on our forms, checking a consent box, signing a contract that includes SMS consent, or texting a keyword to us, you agree to receive texts. Consent is not a condition of purchase.

c) Opt out: text STOP to end messages. You may also use END, CANCEL, UNSUBSCRIBE, or QUIT. One final confirmation text will be sent. To rejoin, text START.

d) Help: text HELP for help. You can also email [email protected] or call 480-415-8288.

e) Data we keep for SMS: phone number, message content, time stamps, delivery logs, opt-in and opt-out records.

f) Carrier notice: carriers are not liable for delayed or undelivered messages.

Cookies and tracking

We use essential, analytics, and advertising cookies and pixels, including Google Analytics and the Meta Pixel. You can adjust browser settings to block or delete cookies. Ad choices are available at optout.aboutads.info and optout.networkadvertising.org. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of targeted advertising where required.

Sharing information

We share information with:

a) Service providers that help us run our business, such as website hosting, CRM and forms (e.g., Go High Level or similar), email and SMS platforms, payment processors (Stripe), cloud storage and delivery tools, analytics, and ad platforms.

b) Event vendors you ask us to coordinate with.

c) Authorities, advisors, or buyers in connection with legal requests, disputes, or a business transaction.

We do not sell personal information. We may “share” limited data for cross-context behavioral advertising as defined by certain state laws. You can opt out.

Role at events

For event coverage we act as a service provider to our clients and follow the signed agreement. For our own portfolio use, we act as a controller and rely on contractual permissions or your consent. If you are a guest and want to request removal of a portfolio image, email [email protected] with a link or screenshot.

Retention

a) Inquiries and project files: retained as needed to manage relationships and for legal requirements.

b) Payment records: retained per tax and accounting rules.

c) Media: raw footage is typically kept at least 12 months after delivery unless your contract states otherwise. Edited deliverables and portfolio assets may be retained for archival, client support, or portfolio use, subject to contractual usage terms. Reasonable removal requests for portfolio items will be honored unless we must retain the content by law or contract.

Security

We use administrative, technical, and physical safeguards appropriate to our business. No method of transmission or storage is completely secure.

Your privacy rights

Your rights depend on where you live. Subject to exceptions, you may have the right to access, correct, delete, or receive a copy of your information, opt out of marketing emails or texts, and opt out of targeted advertising and certain analytics. To exercise rights, email [email protected] with the subject line Privacy Request. We may need to verify your identity.

U.S. state disclosures

California residents: you may have rights to know, delete, correct, and opt out of “sharing” for cross-context behavioral advertising. We do not sell personal information for money. You may use an authorized agent. We will not discriminate for exercising rights.

Virginia, Colorado, Connecticut, and similar state laws: you may have rights to access, delete, correct, data portability, and to opt out of targeted advertising. If we deny a request, you can appeal by replying to our decision email with the subject Appeal.

Nevada: we do not sell covered information.

EEA and UK visitors

Legal bases: consent, contract performance, legitimate interests, and legal obligations. You may withdraw consent at any time. You may also have rights to object, restrict, or port data, and to complain to your local data protection authority. International transfers to the United States use appropriate safeguards where required.

Children

Our site and services are not directed to children under 13, and we do not knowingly collect personal information from them.

Third-party links and embedded content

Third-party sites and embedded services have their own privacy policies and controls.

Do Not Track

Some browsers send Do Not Track signals. We do not respond to DNT, but we honor Global Privacy Control where required.

Changes to this policy

We may update this policy. The effective date at the top shows the latest version. Material changes will be posted on our site and, when appropriate, sent to you.
